Refund Policy

1. Free Trial

All new labs are entitled to a 14-day free trial with full access to all features of Labgrow LIMS. No credit card or payment is required to start the trial. You will not be charged during the trial period.

If you do not subscribe before the trial ends, your account will be suspended. No refund is applicable for the trial period as no payment is taken.

2. Monthly Subscriptions

Monthly subscriptions are charged at the beginning of each billing cycle.

Monthly subscription fees are non-refundable once the billing cycle has commenced. You may cancel at any time, and your access will continue until the end of the current billing period. No further charges will be made after cancellation.

3. Annual Subscriptions

Annual subscriptions offer a discount over the monthly rate and are charged upfront for 12 months.

Refund window: If you cancel an annual subscription within 30 days of the charge date, you are entitled to a pro-rated refund for unused months, calculated from the day of cancellation.

After 30 days from the charge date, annual subscription fees are non-refundable. You may still cancel to prevent auto-renewal at the end of the annual period.

Pro-rated refund example:

If you pay for 12 months on 1 June 2026 and cancel on 20 June 2026 (19 days in), you will receive a refund for the remaining ~11 months, minus any applicable payment processing fees.

4. Exceptional Circumstances

In cases of significant service outages directly attributable to our platform (cumulative downtime exceeding 48 hours in a billing month), we will issue a service credit equivalent to the affected period, at our discretion.

Refunds will not be issued for downtime caused by third-party providers, force majeure events, or actions by the subscriber (e.g. misconfiguration, misuse).

5. Duplicate Charges

If you are charged more than once for the same billing period due to a system error, please contact us immediately. Duplicate charges will be refunded in full within 5–7 business days.

6. How to Request a Refund

To request a refund, please email us within 7 days of the charge with the following information:

  • Your lab name and registered email address
  • Invoice number (visible in Settings → Subscription)
  • Reason for the refund request

Refund requests received after 7 days of the charge date will not be processed, except in cases of duplicate charges.

7. Refund Processing

Approved refunds will be credited to the original payment method within 5–10 business days, depending on your bank or payment provider.
